Privacy Policy

This policy explains what personal information AI Mindsets collects through aimindsets.ca and in the course of our work, why we collect it, who sees it, and the choices you have. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada’s Anti-Spam Legislation (CASL).
- We collect only what you send us and basic technical data your browser shares with our web host.
- We use it to answer you, quote and deliver projects, and run this site.
- We do not sell personal information. This site sets no advertising or tracking cookies.
- You can ask to see, correct or delete your information at any time: info@aimindsets.ca.
1. Who is responsible
AI Mindsets (“AI Mindsets”, “we”, “us”) is an AI advertising studio based in Ontario, Canada. We are responsible for the personal information under our control. Our privacy contact is info@aimindsets.ca.
2. What we collect
Information you give us
- Your name, email address, the type of project you want and your message, when you use the contact form or email us.
- Materials you send for a project, such as logos, product photos, brand guidelines, scripts, links and reference videos.
- If you become a client: business contact details, billing information and project records.
Information collected automatically
- When you visit the site, our web host may log technical data such as your IP address, browser and device type, the pages requested and the date and time. We use this only to operate and secure the site.
- This site does not currently set non-essential cookies. Its fonts are hosted on our own server.
Please do not send us sensitive personal information (such as health details, government ID numbers or financial account numbers), or personal information about other people, unless we ask for it and you are authorized to share it.
3. Why we use it
- To reply to your enquiry and prepare proposals.
- To deliver, manage and support projects.
- To invoice, keep business and tax records, and meet legal obligations.
- To keep the site working and secure.
We do not sell your personal information and we do not use it for purposes you would not reasonably expect.
4. Consent and email
By sending us a message or a form, you agree that we may collect, use and share your information as described here in order to respond to you. You can withdraw your consent at any time by emailing us, subject to legal or contractual limits. Withdrawing consent may mean we can no longer work with you on a project.
We reply to enquiries and to people we work with. We will not add you to a marketing list without your express consent. Any commercial email we send will identify us and include a simple way to unsubscribe.
5. Who we share it with
We share personal information only with service providers who help us run the business, and only as needed. These include:
- Web hosting (Hostinger).
- Domain and email routing services (Cloudflare) and email (Google).
- A form-processing service (Web3Forms) that passes your form message to us, if the form is set up to use it. Otherwise the form opens your own email application.
- Video platforms (such as YouTube) when you choose to open a project video. Those links open on the platform’s own site.
- Generative AI tools used to produce creative work (see section 6).
We may also disclose information if the law requires it, or to protect our rights, safety or property. If AI Mindsets is sold or reorganized, information may transfer to the new owner, who must protect it in line with this policy.
6. Your materials and AI tools
To produce advertising we may upload or enter materials you provide (for example logos, product images, brand guidelines and scripts) into third-party generative AI tools. Those tools process the materials under their own terms and privacy policies. We aim not to enter sensitive personal information, and we do not upload images of identifiable people without permission. If any of your materials are confidential or must not be processed with AI tools, tell us before you send them and we will discuss options.
7. Where information is stored
Our service providers may store or process information outside Canada, including in the United States. Information held in another country is subject to that country’s laws and may be accessible to its courts and authorities.
8. How long we keep it
- Enquiries that do not become projects: up to 24 months, then deleted.
- Client and project records: as long as needed to deliver and support the work and for our legitimate business needs, and as long as tax and other laws require records to be kept.
9. Security
We use reasonable safeguards, including HTTPS on this site, access controls and the security features of our providers. No system is completely secure. If a breach of security safeguards creates a real risk of significant harm to you, we will notify you and the Privacy Commissioner of Canada as the law requires.
10. Your rights
You may ask us to tell you what personal information we hold about you, to give you access to it, to correct it, or to delete it. You may also ask questions about our practices or challenge our compliance. Email info@aimindsets.ca. We may need to confirm your identity first. We aim to respond within 30 days.
Depending on where you live (for example Quebec, the European Union or the United Kingdom) you may have additional rights under local law. Contact us and we will help.
If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.
11. Cookies and analytics
At the time of writing, this site uses no advertising, tracking or analytics cookies. If we add tools such as Google Analytics or a social media pixel, we will update this policy and ask for your consent where the law requires it.
12. Other websites
Our site links to other sites, including YouTube and social media. We are not responsible for their privacy practices. Please read their policies.
13. Children
This site is for businesses and is not directed at anyone under 18. We do not knowingly collect information from minors. If you believe we have, contact us and we will delete it.
14. Changes to this policy
We may update this policy from time to time. The date at the top shows the latest version. If a change is significant, we will say so on the site.
